Do you still send out paper receipts and invoices, and reports and contracts? If you do, that means you are spending money on printers and ink cartridges; or maybe you are spending a lot of money leasing printers and copiers, probably at great costs; if you do, ask yourself why? Everybody in business today has a device in their hand or on their desk. Save the cost of printer, ink, and paper and just email your clients and partners; you can also use SharePoint or similar technology to share documents. Truth is they are more likely to read it on their devices than the paper copy. Yes, save that money.
Have you noticed the cost of ink cartridges and toners recently.? Isn’t ridiculous that a gallon of milk cost around $3.00 (1 Gallon is equal to 3785.411784 milliliters (mL) but an ink cartridge containing less than 100mL cost $20.00 or more? Does it cost more to produce ink cartridges than it is to raise a cow, milk the cow, bottle the milk, and transport the milk to the market. I don’t think so. Printer and ink cartridge manufacturers are taking advantage of the need for people in business to print. There is nothing wrong with the manufacturers taking advantage of demand and making the most money; after all this is a free market economy. Don’t become a victim though. That’s all. Save money; find other ‘technological’ ways besides ‘printed paper’ to communicate. You may save a tree or two in the process.
Physical Storage Devices
Why are you still using USB storage devices to store data, and calling it backup? That’s not reliable backup because those devices have ‘life span’ and can become inaccessible, or defective anytime, depending on how you keep them. You may even lose or misplace them; in which case it could fall into the wrong hands.
Sign up for cloud (storage) services; I am resisting the temptation to name of the good ones on the market. Just research online and sign up for one. Contact Us if you need help doing so. When you get one, make sure you secure your account with a strong password, and multi-factor authentication, and then backup your files to the cloud drive. Some cloud services have configuration that allows you to sync your device directly.
One obvious advantage of keeping your documents in the cloud is that your documents are secure, away from your physical location, where roaches, and moth cannot touch it, and also accessible 24/7 on your mobile devices or desktop computer.
